Learning@Snowbird: Information on Registration, Lodging, Travel, and other non-technical issues

 

MEETING INFORMATION:

The meeting will begin with registration at 4:00 p.m. in the Ballroom Prefunction Area at the Cliff Lodge Tuesday, April 1, 2008. The first session starts after dinner Tuesday night. Sessions take place in the mornings and evenings (with time for skiing in the afternoon), and will run through the evening of Friday, April 4, 2008, so it is advisable to plan to remain at Snowbird until Saturday morning. If your abstract is accepted as a poster, please note that poster size should be no larger than 4' x 6'.
 

REGISTRATION:

Go to the registration page and fill out the information before February 4th, 2008. The registration fee, which includes all meals, is US$450 for payment sent before February 4th, 2008, or US$500 for payment sent after February 4th, 2008. Add the amount for companion meals if desired (see below).

Download the registration payment form. You can either fill up your credit card information and fax the form, or write a check and mail the form.

Participante are strongly encouraged to attend the entire workshop. There is no possibility of reduced registration fee for participants who can attend only part of the workshop.

CANCELLATION POLICY: Registrations cancelled before March 1, 2008 will be refunded. Registrations cancelled after March 1, 2008 will not be refunded.
 

ATTENDEE MEALS:

The registration fee for the conference covers the cost of the meals from Tuesday evening through Friday evening.
 

SPECIAL MEAL REQUIREMENTS:

If you have special meal requirements, please indicate by checking off this area on the registration payment form and note any dietary requirements in the space provided. We will try to accommodate as much as possible.
 

COMPANION MEALS:

We have planned no special companion program, but companions can join us at meals for a fee of US$150.
 

LODGING:

A block of rooms has been set aside for us at the Cliff Lodge at Snowbird.

You are responsible for reserving your room on a first-come, first-serve basis, so it advisable to reserve your room as early as possible. The basic room rate rate is $164 per night (plus room tax). These rooms can accommodate one to four people (2 beds).

HOTEL RESERVATION DEADLINE: To insure hotel accommodations be sure to reserve your room before March 1, 2008. Refer to our group as the "Learning Workshop". After that date, you may not get a room at the Cliff Lodge or the room rate may be higher. There's only 1 other lodge at Snowbird and that's usually full.

HOTEL RESERVATION DETAILS: A two-night deposit per room is required at time the reservation is made. Full payment of room and tax is required 30 days prior to arrival. If full payment is not received, the rooms will be released. LODGING CANCELLATION: Rooms released 15-29 days prior to arrival will be subject to a cancellation fee equal to two night's lodging. Rooms released within 14 days prior to arrival will forfeit full amount. No-shows and early departures are considered a cancellation. CHECK IN/OUT: Check-in time begins at 4:00 p.m. and is guaranteed by 6:00 p.m. (please indicate if you are arriving late). Check-out time is 11:00 a.m. Luggage storage is available through bell service for guests arriving prior to check-in time and for those involved in meetings or activities that extend past check-out time.

If you are willing to share your room, which will reduce your individual cost, please indicate this by checking off the area on the Registration Form. Karen Smith will keep a list of attendees interested in minimizing their costs. The list will be sent to attendees willing to share before the reservation deadline of March 1, 2008. NOTE: Karen Smith does not handle room reservations.
 

GETTING TO SNOWBIRD:

In good weather, Snowbird is a forty-minute ride by shuttle, bus or taxi from the Salt Lake City airport.

RESERVATIONS BY PHONE: Snowbird Travel and Central Reservations can assist with your transportation needs when you reserve your room (1-800-453-3000 or 1-801-947-8220).

AIRPORT TRANSPORTATION: Airport shuttles may be arranged through Snowbird Central Reservations (800-453-3000) up to 48 hours prior to arrival, or through Canyon Transportation ( 800-255-1841). Current round trip pre-paid price is approximately US$58.00 per person, plus driver gratuity. Walk-ups are accepted on a space available basis at the Canyon Transportation desk located in the baggage claim area of the Salt Lake City International Airport. Cancellations received within 48 hours of arrival are non-refundable.

A rental car is not needed and is likely to be a nuisance.

Usually, April is a month of occasional heavy snowfall at Snowbird and the access road through Little Cottonwood Canyon is occasionally closed for plowing. If there is a long road closure, the Cliff Lodge at Snowbird (phone: 1-801-742-2222) will handle the logistics.
 

HEALTH NOTE:

Snowbird is 8000 feet (2500 meters) above sea-level. This altitude may present a difficulty for people with respiratory or circulatory problems. Remember, at this altitude the sun can cause serious sun burn or poisoning, be prepared with sun block for your ski outings.
 

SKIING:

Downhill skiing at Snowbird is usually superb, with some of the best spring skiing in the US. The afternoons are unscheduled (and therefore available for skiing), but serious skiers may want to spend some time at Snowbird before or after the meeting. Downhill skis can be rented at the Cliff Lodge. For a change of pace, excellent downhill skiing is available at Alta, one mile up the canyon from Snowbird. A shuttle bus runs between the two areas. The best cross country skiing is at the Albion Basin in Alta (the end of the canyon).
 

WARNING:

There is often avalanche danger in Little Cottonwood Canyon. Do not go ski touring off the ski trails without inquiring with the ski patrol.
 

SWIMMING:

There are heated outdoor pools and hot tubs at the Cliff Lodge, in addition to aerobic classes, weight room and sauna so bring appropriate clothing.
